Why this matters

Broker work is cumulative. A question raised at onboarding can become material at renewal; a document requested for a claim can explain a later servicing conversation. NIBA describes broker involvement across the life of a policy, including renewal, adjustment and claims support. That makes a reliable history useful, but it also makes boundaries important: the workspace must not turn a partial record into a false conclusion. The goal is a calmer review surface that keeps the original document, the current fact and the open question distinct.

Build an intelligence-ready broker workspace

Start with a client timelineCreate one factual timeline for policy versions, renewals, documents, requests, responses and key conversations. Do not fill gaps with assumptions; label them as unknown.
Keep the source beside the factWhen a premium, limit, excess, date or policy term is recorded, retain the schedule, renewal notice or other source that supports it so a reviewer can check context.
Separate work from judgementUse a task for collection, comparison or follow-up, then route advice, placement and approval through the broker’s established human process.
Make the handover explicitRecord what was reviewed, what remains incomplete, who owns the next step and which client question needs a response. A recipient should not have to infer the purpose from an email trail.
Review the record at the next insurance momentAt renewal, servicing or claim preparation, check that the current version, the relevant source and the unresolved items still match the work being performed.
